How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • As a service user in order to receive a copy of our newsletter and/or other services
  • As a volunteer in order to undertake voluntary activity
  • As an employee for employment purposes

We also receive personal information indirectly, from the following sources in the following scenarios:

  • External referrers such as Memory Support Services, Social Workers, staff in Neighbourhood Teams, Health Care providers, other third sector organisations

We use the information to understand your needs and provide you with a better service, in particular for the following reasons:

  • Internal record keeping
  • To ensure we can keep in touch with you and let you know about our services
  • To know who to contact in an emergency

We may share this information with funders. 

Under the UK General Data Protection Regulation (UK GDPR), the lawful basis we rely on for processing this information is:

How we store your personal information 

Your information (data) is stored on our network within secured Microsoft Data centres located within the United Kingdom and on a secure cloud-based CRM database. 

We keep personal information until:

  • You ask to be removed in which case your data will be deleted or anonymised OR
  • when you are ‘archived’ for any other reason in which case your data will be retained in line with our retention policy after which it will be deleted or anonymised.

If you use our website unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.
